Executive Assistant

GFA is looking for an organized and outgoing individual to support the President & CEO.

Operating within an established set of policies and procedures, the Executive Assistant is responsible for providing administrative support services to the President & CEO. This position requires handling confidential matters, ensuring that all information is held in the strictest confidence. 

Essential Functions:

  • Assist the President & CEO in the daily function of that position. Maintain and manage the President & CEO’s weekly and monthly schedule.
  • Execute the decisions of the President & CEO. Relay information from the President & CEO in an accurate and timely manner.
  • Responsible for timely preparation and submission of all reports necessary to maintain NCUA and other regulatory compliance.
  • Coordination of corporate calendar ensuring that all policies are reviewed as required by regulatory entities. Ensure maintenance to policy adherence as required by NCUA regulations.
  • Represent the Credit Union and the office of the President & CEO positively and professionally. Maintain confidentiality of all corporate, personnel and research matters.
  • Handle mail, correspondence and information to provide the necessary support to the President & CEO. Compose letters and instructions on own initiative.
  • Ensure that assigned projects are completed in a timely and efficient manner.
  • Screen visitors and telephone calls for the President & CEO to provide accurate messages and information. Organize and prioritize large volumes of information and calls.
  • Create and develop visual presentations, reports, memos, charts, tables, graphs, business plans, etc. for the President & CEO. Prepare monthly reports as requested or assigned.
  • Produce and distribute correspondence, reports, internal memos, policies and invitations.
  • Responsible for the maintenance of the President & CEO’s filing system.
  • Edit and maintain all approved policies and manuals, ensuring accuracy, completeness and the availability of the most current information.
  • Prepare agendas and materials for staff meetings. Produce and distribute monthly calendar of events for staff.
  • Maintain annual calendar for the Credit Union ensuring that planned activities and tasks are performed.
  • Arrange travel for Executive staff and Board Members, as needed, for their attendance at functions concerning the Credit Union.
  • Prepare agendas and materials for the monthly Board of Director, Supervisory Committee, and other committee meetings. Responsible for the timely and efficient delivery of materials prior to the meetings.
  • Transcribe the minutes of the Board of Director, Supervisory Committee, and official meetings, ensuring proper formating.
  • Hold and maintain all Credit Union minute books.
  • Prepare and coordinate the distribution of monthly surveys and tabulate results of returned information.
  • Assist in the coordination of special events for staff, Board of Directors and/or Supervisory Committee members.
  • Adheres and complies with Credit Union and regulatory agencies (i.e. NCUA, State, Federal) policies and procedures.
  • Demonstrate the Credit Union’s service commitment in all member interactions, including proactively offering GFA’s products and services.
  • Directly contribute to the growth of the Credit Union by completing personal goals.
  • The Credit Union promotes continuing education and career development. As such self-development initiatives are expected, including attending branch and organizational meetings, educational sessions, seminars or courses as requested.
  • Other duties as assisged.

Education: 

Associates degree or equivalent with at least two years of related experience, or two years of similar experience in a financial institution.
